Privacy Policy
How we collect, use and protect your personal information and your manuscript.
In brief
- We collect the details you give us in our forms and during a project, and use them to respond to you and deliver our services.
- We do not sell your personal information or your manuscript.
- Optional analytics and advertising cookies are only set if you accept them in our cookie banner. You can change your choice at any time using "Cookie settings" in the footer.
- You can ask to access, correct or delete your information by emailing info@cambridgepublishingpress.com.
Who we are
This Privacy Policy explains how Cambridge Publishing Press ("we", "us" or "our") collects and uses personal information when you visit cambridgepublishingpress.com (the "Website"), contact us, or use our services. We are the controller of the personal information described in this policy. You can contact us about privacy at info@cambridgepublishingpress.com or at 1115 Broadway, 9th Floor, New York, NY 10010.
Information we collect
Information you give us
- Contact and identity details, such as your name, email address and phone number.
- Project details, such as the service you are interested in, the stage of your manuscript, its genre and approximate length, and anything you tell us about your book or goals.
- Manuscripts and creative materials you send us during a consultation or project, including text, images and feedback.
- Billing details, such as your billing name and address and invoice history. Payment card details are handled by our payment processor, not by us (see "Payment processing").
- Communications, including emails and messages you exchange with us.
Information collected automatically
- Form metadata: when you submit a form we record the page you submitted it from, the date and time, the offer code of any promotion you responded to, and your browser's user-agent string (the type of browser and device).
- Security data: to prevent spam, we keep a one-way scrambled (hashed) version of your IP address for up to two hours to limit repeated submissions. We do not store your IP address in readable form with your enquiry.
- Server logs: like most websites, our hosting provider records technical logs (such as IP address, pages requested and time) to keep the Website running securely.
- Cookies and similar technologies, described in the "Cookies and tracking technologies" section.
We do not intentionally collect sensitive information such as health, religious or financial account details. Please do not include such information in our forms. If your manuscript itself contains personal or sensitive information (for example, a memoir), we handle it confidentially as part of your project.
Contact forms and consultation inquiries
Our contact form, service-page forms, landing-page forms and consultation popup all send your details to us in the same way. When you submit one:
- your enquiry is stored securely on our web server so that it is not lost; and
- a copy is emailed to our team at info@cambridgepublishingpress.com through our email provider, SiteGround.
We use these details to reply to your enquiry, prepare a quote and recommend services. If you responded to a promotional offer, we record that so we can honour it. Required fields are marked on each form; your phone number is required on the consultation popup so that a specialist can contact you, and is optional elsewhere.
Manuscript and project information
Manuscripts and project materials are used only to provide the services you have asked for. They are accessible only to the team members and contractors working on your project, who are bound by confidentiality obligations. We do not publish, sell or share your manuscript, and we do not use it to train artificial intelligence models. [CONFIRM: how manuscripts are exchanged and stored during projects, e.g. email and a named file-sharing service, and the AI-training commitment]
Payment processing
We do not collect payment card details through this Website. Project payments are made [CONFIRM: how clients pay, e.g. by invoice payable online] and card payments are processed by [PAYMENT PROCESSOR(S), e.g. Stripe or PayPal], which handles your card details under its own privacy policy and security standards. We receive confirmation of payment and limited details such as your name, the amount and the last four digits of your card.
Cookies and tracking technologies
Cookies are small files stored on your device. We also use similar browser storage. We use the following:
| Name | Type | Purpose | Duration |
|---|---|---|---|
| cpp_sid | Strictly necessary cookie | Keeps our forms secure by protecting them against forged submissions. | Until you close your browser |
| cpp_consent | Strictly necessary (local storage) | Remembers whether you accepted or declined optional cookies. | Until you clear your browser storage |
| cpp_promo_auto, cpp_promo_done | Functional (session storage) | Stops our consultation popup appearing more than once per visit. | Until you close the browser tab |
| _uetsid, _uetvid | Advertising cookie (optional) | Microsoft Advertising UET: measures ad conversions. Set only if you accept optional cookies. | Up to 13 months |
Fonts. Our Website displays fonts provided by Google Fonts. To show them, your browser connects to Google's servers, which receive your IP address and browser details. Google Fonts does not set cookies. [CONFIRM: keep Google Fonts, or self-host the fonts so no data is sent to Google]
Google Analytics 4
Our Website is built to support Google Analytics 4, but it is not currently active. If we turn it on, it will only run if you accept optional cookies, and we will update this policy before doing so.
Google Ads conversion tracking
Google Ads conversion tracking is not currently active on our Website. If we turn it on, it will only run if you accept optional cookies, and we will update this policy before doing so.
Google Ads remarketing
We do not currently use remarketing or ad personalization. If we start, it will only run with your consent and we will update this policy first.
Microsoft Advertising (Bing UET)
With your consent, we use Microsoft Advertising's Universal Event Tracking (UET) to measure conversions from our Microsoft (Bing) ads. You can manage Microsoft ad preferences at account.microsoft.com/privacy/ad-settings.
Cookie consent and opt-out options
When you first visit the Website, a banner asks whether you accept optional analytics and advertising cookies. Until you accept, they are not set, and Google services that support Google's Consent Mode are told that consent has not been given. You can change your choice at any time by selecting "Cookie settings" in the footer of any page.
You can also block or delete cookies in your browser settings, and opt out of Google Analytics across websites using Google's browser add-on. Blocking strictly necessary cookies may stop our forms from working.
How we use your information
We use personal information to:
- respond to enquiries, prepare quotes and provide consultations;
- deliver, manage and communicate about the services you purchase;
- issue invoices, take payments and keep business and tax records;
- honour promotional offers you have responded to;
- keep our Website and forms secure and prevent spam and fraud;
- understand and improve the Website and our advertising, where you have consented to analytics or advertising cookies; and
- comply with legal obligations and resolve disputes.
Legal bases (UK and EEA visitors)
Where UK or EU data protection law applies, we rely on: contract (to take steps at your request before entering into a contract, and to perform it); legitimate interests (to reply to enquiries, run and secure our business and Website, and keep records), balanced against your rights; consent (for optional cookies and any marketing emails, which you can withdraw at any time); and legal obligation (for example, keeping tax records).
Marketing communications
We send marketing emails, such as news, publishing tips or offers, only if you have agreed to receive them or, where the law allows, if you are an existing client who has not opted out. Every marketing email includes an unsubscribe link, and you can also opt out by emailing info@cambridgepublishingpress.com. We will still send messages that are necessary for an active enquiry or project. Submitting an enquiry form does not sign you up to marketing emails. [CONFIRM: whether marketing emails or SMS are sent, and through which service]
Third-party service providers
We share personal information only with service providers who help us run our business, and only as needed for the purposes in this policy. They act on our instructions and must protect your information. They include:
- Website hosting: [WEBSITE HOSTING PROVIDER], which stores the Website and the enquiries submitted through it.
- Email: SiteGround, which delivers and stores our email.
- Payments: [PAYMENT PROCESSOR(S), e.g. Stripe or PayPal].
- Fonts: Google Fonts (Google LLC), as described above.
- Project contractors: freelance editors, designers, illustrators or narrators working on your project, under confidentiality agreements. [CONFIRM: whether contractors are used]
- Professional advisers, such as accountants and lawyers, where necessary.
When you ask us to help you publish or distribute your book, information you choose to provide to Third-Party Platforms (such as retailers or distributors) is handled under their own privacy policies.
We may also disclose information where required by law, to protect our rights or the safety of others, or as part of a sale or reorganization of our business, in which case the recipient must protect it in line with this policy. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Data security
We use reasonable technical and organizational measures to protect personal information, including encrypted connections to our email server, protection of our forms against forged and automated submissions, and storing enquiries in an area of our server that cannot be accessed from the web. Access to personal information is limited to people who need it. [CONFIRM: HTTPS is enabled on the live website] No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach affects you, we will notify you and the relevant authorities where the law requires.
Data retention
- Enquiries that do not become projects: kept for [RETENTION FOR ENQUIRIES THAT DO NOT BECOME PROJECTS, e.g. 24 months], then deleted.
- Client, project and billing records: kept for [RETENTION FOR CLIENT AND PROJECT RECORDS, e.g. 7 years] after the project ends, to meet legal, tax and accounting obligations and to handle any claims.
- Manuscripts and working files: kept for the duration of the project and a reasonable period afterwards so we can help with corrections or new editions, unless you ask us to delete them sooner. [CONFIRM: post-project file retention period]
- Spam-prevention data (hashed IP address): up to two hours.
Your privacy rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and receive a copy;
- correct inaccurate or incomplete information;
- ask us to delete your information;
- object to or restrict certain uses, including direct marketing;
- receive your information in a portable format; and
- withdraw consent at any time, without affecting earlier processing.
US residents (including California, Colorado, Connecticut, Virginia and other states with privacy laws) may also have the right to know what categories of personal information we collect and why, and to opt out of the sale of personal information or its use for targeted advertising. We do not sell personal information. We will not discriminate against you for exercising your rights.
UK and EEA residents may complain to their data protection authority. In the UK this is the Information Commissioner's Office (ico.org.uk). We would appreciate the chance to address your concern first.
To make a request, email info@cambridgepublishingpress.com. We may need to verify your identity before responding, and we will respond within the time required by applicable law (usually one month in the UK and EEA, or 45 days under most US state laws). If we refuse a request, we will explain why and how you can appeal.
International data transfers
Our service providers may store or process information in countries other than your own, including the United States and the European Union. Where UK or EU data protection law applies and information is transferred to a country without an adequacy decision, we rely on appropriate safeguards such as standard contractual clauses offered by our providers. [CONFIRM: countries where the business and its providers are based]
Children's privacy
Our Website and services are intended for adults. We do not knowingly collect personal information from children under 16 through the Website. Where a project involves a young author, we work with their parent or guardian. If you believe a child has sent us personal information, please contact us and we will delete it.
Changes to this Privacy Policy
We may update this policy to reflect changes in our practices, the technologies on our Website, or the law. The "Last updated" date at the top of this page shows when it last changed. If we make significant changes, such as introducing new advertising technologies, we will update this page before they take effect and, where appropriate, ask for your consent again.
